Most people already know it’s due
A reminder before the due date is mostly information. What’s due, how much, by when, how to pay. Most customers say “हाँ, पता है”, and that’s the call. Some have a reason the date won’t work: the salary comes on the 7th this month. A few think the amount is wrong.
That spread is what the agent is for. It handles the routine calls, writes down the promised dates, and leaves the disputes and hard cases to your team.
The tone stays the same on call 500
Reminder calls go wrong on tone. The agent’s tone comes from its prompt, so the polite script it uses at 10 in the morning is the one it uses at 6 in the evening, and you can read every transcript to check. It’s only as good as what you write, so write these rules into it:
- Confirm it’s the customer before saying anything about the account.
- Never discuss the account with anyone else.
- Mention no consequence you haven’t listed.
- Never take card or UPI details.
- Send every other question to the branch.
From “salary सात को” to a date in your system
When the customer says the salary comes on the 7th, the agent asks whether they can pay on 7 November and notes it. After the call, your system gets that date along with the right SMS template, already filled in. If they only said “next week”, the date is marked missing. Nothing gets guessed.
Just before each call, the agent can also check whether the payment already came in. Calling someone who paid this morning is the quickest way to annoy them.
Who your team should call
Disputes about the amount. Requests to restructure or pause payments. Hardship. Anything legal. The agent can’t transfer calls, so it promises a call from the team and notes why. Read every disputed call in full. They’re often the first sign of a billing error on your side.
Inside the RBI’s hours
If you’re an RBI-regulated lender, its circular on recovery agents keeps recovery calls between 8 a.m. and 7 p.m. and bars threatening or persistent calling. A pre-due reminder isn’t recovery, but one calling window inside those hours is easier to audit. Keep top-up offers off these calls too, since TRAI treats a reminder as a service call only while it stays one.
